Supervisor: Director, Construction

Description: As a member of the Construction Team for RES Canada, the Administrative Assistant is responsible for providing general office administrative support to the Construction Team. Must be bi-lingual in French and English.

Responsibilities:

1. Assistant to the Director, Construction. Calendar management, book meetings and conferences, record and distribute meeting minutes.
2. Perform general office administrative support to the Director and other staff.
3. Maintain and organize project documentation.
4. Translate or verify translation of documents (English/French).
5. Prepare correspondence, reports, and proposals.
6. Coordinate travel arrangements for business related trips, arrange accommodation for staff and visitors, fuel card distribution, and arrange meals and special events.
7. Review and submit invoices and expense reports for approval and processing. Receive and check invoices for accuracy and appropriate signature.
8. Plan and oversee office purchase of equipment/supplies for construction team.
9. Ensure maintenance of photocopiers, fax machines, and printers. Also ensure office is clean and maintained.
10. Maintain cooperation and positive relations with clients, sub-contractors and project stakeholders.
11. Cover front reception duties as needed.
12. Accomplish any other job-related duties/functions requested by the supervisor.

Requirements:

1. Minimum of 4 years experience in office administration.
2. Ability to communicate effectively in French and English.
3. Proficient in MS Word, Excel, Power Point Outlook, Internet, Adobe - general interest in computers and software applications. Experience with ECM systems would be an advantage.
4. Well-organized, attentive to details, good communicator, high degree of professionalism and excellent interpersonal skills.
5. Occasional travel to construction sites may be required.

Education:

College Business, administration or Secretarial diploma or equivalent experience.
